Terms and Conditions

 

These Terms and Conditions apply to all bookings made with Wild Arena Ltd, trading as Forsinard Lodge.

By making a booking and submitting payment, you are entering into a legally binding agreement with Wild Arena Ltd and confirming that you accept the terms outlined below.

If you have any questions regarding these terms, please contact us prior to making payment.

1. Accommodation – Forsinard Lodge

Booking and Payment

Full payment is required at the time of booking unless otherwise agreed. A booking is only confirmed once payment has been received and cleared.

Cancellation by Guest

Cancellations are free of charge up to 7 days prior to arrival.

Cancellations made within 7 days of arrival, or failure to arrive (no-show), will be charged the full cost of the booking.

Your booking does not include cancellation insurance and we recommend that guests ensure they have appropriate travel insurance.

Cancellation by Us

We would only cancel your booking if your accommodation becomes unavailable due to circumstances beyond our control.

In this situation we will attempt to offer alternative accommodation where possible. If this is not possible, or is unacceptable to you, we will refund all monies paid. Our liability will not extend beyond this refund.

 

Check-in and Departure

Rooms are available from 4:00pm on the day of arrival.

If you expect to arrive after 9:00pm, please contact us in advance so that alternative check-in arrangements can be made.

Rooms must be vacated by 10:00am on the day of departure.

Any outstanding balances or additional charges must be settled before departure unless previously arranged.

 

Guest Use of Property

Forsinard Lodge is a small owner-run B&B.

Guest areas of the house and grounds are reserved for registered guests only. Visitors are not permitted on the property without prior permission.

 

Behaviour

Guests are expected to behave respectfully towards other guests, staff, and the property.

Wild Arena Ltd will not tolerate abusive, threatening, or unacceptable behaviour. If such behaviour occurs, we reserve the right to terminate your stay immediately without refund.

Guests must also respect other guests and keep noise to a reasonable level, particularly between 10pm and 7am.

 

Damage to Property

Guests are responsible for any breakages or damage caused during their stay.

Please notify us as soon as possible if any damage occurs.

Minor breakages are not normally charged for, however significant or wilful damage may result in the full cost of repair or replacement being charged.

Wild Arena Ltd reserves the right to charge the credit or debit card used for booking for the cost of repairing damage caused during your stay.

 

Smoking

Forsinard Lodge operates a strict no-smoking policy inside the building.

Evidence of smoking inside the property may result in an additional cleaning charge.

 

Parking

Parking is available for guests at their own risk. Wild Arena Ltd accepts no liability for loss or damage to vehicles or their contents while parked on the property.

 

Personal Property

Wild Arena Ltd accepts no liability for loss or damage to personal belongings, valuables, or vehicles belonging to guests.

 

2. Photography Workshops

Wild Arena photography workshops are not suitable for children under the age of 14. Anyone under the age of 16 must be accompanied by a full-paying adult.

 

Booking

A workshop reservation is confirmed once a booking form and payment have been received and funds cleared. Confirmation will be sent by email.

At our discretion, provisional bookings may be held for up to 14 days pending completion of the booking form and payment.

 

Participant Attendance

Photography workshops are designed for registered participants only.

Only individuals who have booked and paid for the workshop or holiday may take part in activities, transport, or guided sessions.

Non-participating partners, friends, or guests are not permitted to join workshop or holiday activities unless previously agreed in writing by Wild Arena Ltd.

 

Cancellation by Wild Arena

If Wild Arena needs to cancel a workshop, a full refund of all monies paid will be made within 30 days of cancellation.

Wild Arena accepts no further liability beyond this refund

 

Changes to Workshops

Wild Arena reserves the right to change workshop details or postpone an event due to unforeseen circumstances or events beyond our control.

Activities and subjects may change depending on weather conditions, wildlife behaviour, or other circumstances. The safety of guests and the welfare of wildlife are our priority.

 

Cancellation by Participants

All deposits and fees are non-refundable in the event of cancellation by the participant.

Participants are strongly advised to ensure they have appropriate travel insurance to cover cancellation or unforeseen circumstances.

 

Fitness and Ability to Participate

Participants must ensure they are reasonably fit and able to take part in workshop activities.

Many activities take place outdoors and may involve walking on uneven ground or exposure to changing weather conditions.

If you have any medical conditions, injuries, or mobility issues that may affect participation, please inform us prior to booking.

Wild Arena Ltd reserves the right to refuse participation in activities if we believe it may pose a risk to the participant or others.

 

Weather

Photography workshops depend on weather conditions which are outside our control.

While every effort will be made to provide the best opportunities, Wild Arena Ltd cannot guarantee specific weather conditions, or photographic results.

Activities and locations may be adjusted to ensure the best possible experience and the safety of participants.

 

Photography Equipment

Participants are responsible for their own photography equipment and personal belongings.

Wild Arena Ltd cannot accept responsibility for loss, theft, or damage to equipment during workshops or activities.

 

Liability

Wild Arena Ltd cannot be held responsible for loss or damage to personal items, or for personal injury.

Participants acknowledge that outdoor activities may involve risks and are undertaken at their own risk.

 

Environmental Responsibility

Wild Arena photography workshops and holidays often take place in sensitive natural environments.

Participants must follow all instructions given by guides regarding wildlife, habitats, and access.

Participants must not disturb wildlife, damage vegetation, or enter restricted areas.

Wild Arena Ltd reserves the right to remove any participant from an activity without refund if their behaviour risks damage to wildlife, habitats, or protected areas.

 

3. Photography Holidays

 

Wild Arena photography holidays are not suitable for anyone under the age of 18.

 

Deposits and Payments

A non-refundable deposit is required to secure your place on a photography holiday.

The due date for the balance payment will be confirmed upon booking.

Unless cancellation is received prior to the balance payment date, all monies owing will remain due and payable.

Guests are responsible for ensuring they have appropriate insurance cover.

 

Participant Attendance

Photography holidays are designed for registered participants only.

Only individuals who have booked and paid for the workshop or holiday may take part in activities, transport, or guided sessions.

Non-participating partners, friends, or guests are not permitted to join workshop or holiday activities unless previously agreed in writing by Wild Arena Ltd.

 

Cancellation by Wild Arena

If Wild Arena cancels a holiday, a full refund of all monies paid will be made within 30 days of cancellation.

Wild Arena accepts no further liability beyond this refund.

 

Changes to Holidays

Wild Arena reserves the right to alter the details of any holiday due to unforeseen circumstances or events beyond our control.

Any significant changes will be communicated to participants as soon as possible.

 

Remote Locations and Travel

Some photography holidays may involve travel to islands or remote locations where transport (such as boats or ferries) may be affected by weather or other conditions.

Wild Arena will assist where possible but cannot accept responsibility for additional accommodation, travel costs, or delays caused by such circumstances.

 

Health and Medical Considerations

Some locations may have limited medical facilities and delays in assistance may occur.

Guests are responsible for bringing sufficient medication and ensuring they have appropriate travel and medical insurance.

Please inform us in advance of any medical conditions that may affect your participation.

 

Equipment Responsibility

Participants are responsible for their own photography equipment and belongings.

Wild Arena Ltd cannot accept responsibility for loss, theft, or damage to equipment during holidays.

 

Liability

Wild Arena Ltd cannot be held responsible for loss or damage to personal items, or for personal injury.

Participants acknowledge that activities undertaken during holidays may involve risks and are entered into at their own risk.

4. Data Protection

 

In order to process your booking we collect personal details including your name and contact information.

These details are used only for:

  • managing your booking

  • communicating with you about your stay or activity

  • sending occasional information about our services

Your details will not be shared with third parties without your consent unless required by law.

Wild Arena Ltd is registered with the Information Commissioner’s Office (ICO) and is PCI compliant.

 

5. Force Majeure

 

Wild Arena Ltd shall not be liable for failure to perform obligations where such failure is due to circumstances beyond our reasonable control, including but not limited to:

  • extreme weather

  • natural disasters

  • transport disruption

  • government restrictions

  • utility failures
